Aesthetiks Med | Aesthetic & Medical Treatments
A secure and scalable platform for managing appointments, records, and marketing for aesthetic practices.
About the Project
This project is a comprehensive medical and aesthetic clinic management platform designed to help clinics, doctors, practitioners and staff manage their complete day-to-day operations from one central system. The platform combines a doctor/service marketplace with a powerful clinic management and resource management system. Doctors and medical professionals can create professional profiles, publish and promote their treatments or services, define their availability, manage appointments and handle their patients and cases. At the same time, clinic administrators can manage staff, attendance, shifts, working hours, days off, patient records, medical cases, resources, appointments, services and operational activities. The platform should provide a complete digital workflow from doctor/service discovery and booking through patient management, treatment records, staff management and clinic operations. Core Platform Concept The system consists of three major areas: 1. Doctor & Service Marketplace Doctors can create professional profiles Doctors can publish treatments and services Patients can discover doctors and services Patients can view service details and pricing Patients can request or book services Doctors can manage availability and appointments 2. Clinic Management System Manage patients and their records Manage appointments and schedules Manage medical cases Maintain treatment and consultation history Manage doctors and staff Track staff attendance Manage shifts and working hours Configure days off and holidays Assign roles and responsibilities Manage clinic resources and rooms Track operational activities 3. Patient & Case Management Create comprehensive patient profiles Maintain medical and treatment history Record consultations Record diagnoses and treatment plans Maintain case notes Upload relevant documents Track procedures and treatments Record follow-ups Maintain appointment history Keep all patient information organized in one place The overall objective is to provide clinics with a centralized platform where they can manage people, patients, doctors, services, cases, appointments, staff, schedules and resources while giving patients an easy way to find and book healthcare and aesthetic services.
Client Requirement
The client requires a complete doctor marketplace and clinic management platform for medical and aesthetic businesses. The platform should allow doctors to offer services to patients while providing clinic administrators with complete control over patients, staff, schedules, cases, resources and daily operations. 1. User Roles The system should support multiple user roles with role-based permissions. Admin / Clinic Owner Manage the entire clinic Manage doctors Manage staff Manage patients Manage services Manage appointments Manage cases Manage resources Manage shifts Manage attendance Configure working days and days off Manage permissions View reports Monitor clinic activity Doctor / Practitioner Create professional profile Add qualifications and experience Add specialisations Publish services/treatments Set service pricing Define availability Manage appointments View assigned patients Access authorised patient records Create consultation notes Manage cases Add treatment plans Record procedures Add follow-up notes Upload documents Track case history Staff Staff accounts should have permissions based on their assigned role. Examples: Receptionist Nurse Clinic Manager Assistant Therapist Administrator Other configurable staff roles Staff should only have access to the modules and information permitted by their role. Patient Patients should be able to: Create an account Manage their profile Browse doctors Browse services View treatment information View pricing Book appointments View upcoming appointments View appointment history Communicate with the clinic where applicable Access permitted medical/treatment information Upload required documents Receive notifications 2. Doctor Marketplace The marketplace should allow doctors and practitioners to promote their professional services. Doctors should be able to create: Professional profile Profile image Biography Qualifications Experience Specialisations Professional credentials Languages Clinic/location information Services Treatment information Pricing Availability Patients should be able to search and discover doctors based on: Specialisation Treatment Service Location Price Availability Experience Rating/reviews 3. Service / Treatment Listings Doctors should be able to publish services similar to marketplace listings. Each service can contain: Service name Description Category Treatment type Price Duration Preparation requirements Aftercare information Available locations Doctor/practitioner Images FAQs Availability Example: Dermal Fillers Consultation Duration: 30 minutes Price: £XX Doctor: Dr. XXXXX Location: XXXXX Book Appointment 4. Appointment Management The platform should provide complete appointment management. Features should include: Appointment booking Appointment calendar Doctor availability Staff availability Appointment confirmation Rescheduling Cancellation Appointment status No-show tracking Appointment reminders Appointment history Appointment statuses can include: Pending Confirmed Checked In In Progress Completed Cancelled No Show 5. Patient Management Each patient should have a central profile containing their relevant information. Patient records may include: Personal information Contact details Emergency contact Medical information Allergies Relevant medical history Treatment history Appointment history Consultation records Case history Documents Notes Treatment plans Follow-ups Payments/invoices where applicable The system should maintain a chronological patient history so authorised users can understand the patient's previous interactions and treatments. 6. Case Management Doctors and authorised staff should be able to create and manage individual patient cases. Each case may include: Case title Patient Assigned doctor Assigned staff Case type Date opened Case status Symptoms/concerns Consultation notes Diagnosis/assessment Treatment plan Procedures Progress notes Follow-up appointments Attachments Case history Completion date Case statuses could include: Open In Progress Awaiting Follow-up Completed Cancelled 7. Medical & Treatment Records The system should allow authorised practitioners to maintain detailed patient records. Doctors should be able to record: Consultations Clinical notes Treatment details Procedures Treatment plans Follow-up information Patient responses Relevant documents Before/after images where appropriate Additional notes Records should be timestamped and associated with the relevant practitioner and patient. 8. Staff Management Administrators should have a complete staff management module. Features should include: Add staff Edit staff Staff profiles Assign roles Assign departments Set permissions Activate/deactivate staff View attendance View schedules Manage shifts Manage days off Manage holidays 9. Staff Roles & Permissions The platform should have role-based access control. Administrators should be able to define what each role can: View Create Edit Delete Approve Export For example, a receptionist may manage appointments but should not have unrestricted access to sensitive clinical records. Permissions should be configurable rather than hard-coded wherever possible. 10. Staff Attendance The system should record staff attendance. Attendance features may include: Clock in Clock out Attendance status Late arrival Early departure Absence Break tracking Attendance history Monthly attendance reports Administrators should be able to review attendance by employee, date range and department. 11. Shift Management The clinic should be able to create and manage employee shifts. A shift can include: Shift name Start time End time Break time Assigned staff Department Working days Effective date Examples: Morning Shift 09:00 AM – 05:00 PM Evening Shift 02:00 PM – 10:00 PM The system should identify scheduling conflicts where applicable. 12. Working Days & Days Off Administrators should be able to configure: Clinic working days Staff working days Individual days off Weekly schedules Public holidays Annual leave Sick leave Other leave types The appointment system should use these schedules when calculating available booking times. 13. Resource Management The platform should provide resource management for the clinic. Resources can include: Treatment rooms Consultation rooms Equipment Devices Treatment areas Beds Other clinic resources Administrators should be able to: Create resources Assign resources Track resource usage Define availability Associate resources with appointments Prevent double booking For example, if a treatment requires a specific room or device, the system should ensure that resource is available before confirming the appointment. 14. Appointment + Resource Coordination The booking system should consider multiple availability factors. For example: Doctor available Staff available Room available Required equipment available = Appointment slot available This should help prevent operational conflicts inside the clinic. 15. Documents & Files The system should allow authorised users to upload and manage relevant documents. Documents may include: Patient documents Consent forms Treatment documents Reports Consultation attachments Identity documents where required Before/after images Other clinic records Access to documents should follow role-based permissions. 16. Notifications The system should provide notifications for important events. Examples: Appointment booked Appointment confirmed Appointment cancelled Appointment reminder Appointment rescheduled New patient registration New case assigned Follow-up required Staff shift reminder Attendance notifications Service/order updates Notifications can be delivered through the platform and, depending on final scope, email/SMS/push notifications. 17. Dashboard & Reporting The admin dashboard should provide an overview of clinic operations. Possible dashboard metrics: Today's appointments Upcoming appointments Completed appointments Cancelled appointments New patients Active cases Completed cases Doctors Staff Attendance Available resources Revenue/transactions where applicable Reports should support filtering by: Date Doctor Staff member Department Service Patient Case status 18. Search & Filtering The system should provide global search and filtering across relevant modules. Users should be able to search for: Patients Doctors Staff Services Appointments Cases Resources Documents Filters should be based on the user's role and permissions. 19. Audit Trail Because the platform manages important patient and operational information, actions should be traceable. The system should record relevant activities such as: Record created Record updated Record viewed where required Record deleted Appointment changed Case assigned Document uploaded Staff permissions changed Audit records should include the user, action and timestamp. 20. Security & Privacy The platform should use appropriate security controls for sensitive healthcare information. Requirements should include: Secure authentication Role-based access control Permission management Secure document storage Encrypted communication Protected patient information Session management Audit logging Appropriate backup strategy For a UK deployment, the implementation should also be designed around applicable UK GDPR and Data Protection Act 2018 requirements, with the client's legal/compliance team determining the exact compliance requirements for the specific healthcare use case. 21. Overall Workflow The platform's primary workflow should be: Doctor creates profile → Publishes service → Patient discovers service → Patient books appointment → Clinic confirms appointment → Doctor/staff handles patient → Patient record is updated → Case/treatment is recorded → Follow-up is scheduled → Case is completed → Records remain available to authorised users For clinic operations: Admin creates staff → Assigns role → Creates shift → Staff clocks in → Handles assigned appointments/cases → Staff clocks out → Attendance is recorded → Admin reviews reports The final system should provide a single centralized platform for managing the complete journey from service discovery and booking to patient care, case management, staff operations and clinic resources.
